This website is operated by Ross Smith trading as Newcastle Oven Cleaning, a sole trader based at 60 Brighton Grove, Fenham, Newcastle upon Tyne, NE4 5NS, United Kingdom. In this policy, "we", "us" and "our" refer to Newcastle Oven Cleaning.

2. What personal data we collect

We only collect what we need to quote and deliver oven cleaning services. That includes:

• Contact details — your name, phone number, email address and the address where the work is to be carried out.
• Booking information — what you'd like cleaned (oven type, hob, extractor, etc.), the date and time arranged, and any access notes you share.
• Photos you send us — if you send pictures of your appliance via WhatsApp or email to help with a quote, we keep them only as long as needed to deliver the quote and the job.
• Payment information — we record the amount paid and the payment method (cash, bank transfer or card). We do not store full card numbers; card payments are processed by our card terminal provider.
• Website usage data — when you visit this site, our hosting provider (Cloudflare) records basic technical information such as IP address, browser type and page visited, for security and performance.

3. Why we collect it and our legal basis

• To respond to enquiries and provide quotes — legal basis: legitimate interest (responding to your request).
• To carry out the oven cleaning service you've booked — legal basis: performance of a contract.
• To send you a booking confirmation or follow-up — legal basis: performance of a contract.
• To comply with UK tax and accounting obligations — legal basis: legal obligation. HMRC requires us to keep records for at least 6 years.
• To improve the website — legal basis: legitimate interest, using anonymised analytics where possible.

4. Who we share data with

We do not sell your data. We only share it with:

• Our accountant, where needed for tax and bookkeeping.
• Our insurance provider (Simply Business), only if a claim arises.
• HMRC and other regulators, where the law requires.
• Service providers we rely on to run the business, including our website host (Cloudflare), our email provider, and our card payment processor. These providers act on our instructions and under their own data protection terms.

5. How long we keep your data

• Enquiry contact details that do not result in a booking: up to 12 months.
• Booking and customer records: at least 6 years after the work, to comply with HMRC rules.
• Photos sent for quotes: up to 12 months after the job, then deleted.

6. Your rights

Under UK GDPR you have the right to:

• Ask for a copy of the personal data we hold about you
• Ask us to correct anything that's wrong
• Ask us to delete your data, where we no longer need it
• Object to how we use it
• Ask us to restrict how we use it
• Withdraw any consent you've given

To exercise any of these rights, contact us using the details in section 1. We'll respond within one month.

If you're not happy with how we've handled your data, you can complain to the Information Commissioner's Office (ICO) at ico.org.uk.

7. Cookies and tracking

This site uses only essential cookies needed to load the site correctly. We do not use advertising cookies or third-party trackers. If we add analytics in future to understand how visitors use the site, this policy will be updated and consent will be requested where required.

8. Security

We take reasonable steps to protect your data. The website is served over HTTPS. Booking records are stored on a password-protected device. Photos and messages exchanged via WhatsApp are encrypted end-to-end by WhatsApp itself.

9. Children's data

Our services are aimed at homeowners and tenants over the age of 18. We do not knowingly collect personal data from anyone under 18.

We may update this policy from time to time. The "Last updated" date at the top of this page will reflect the most recent change.
